Progress Notes 

If I were to search for a Progress Note that was created in Bells in order to print it for a record release request (or any other reason), where would I be looking for it?  Do I look in CT|One or do I look in Bells?

You would look at either place to find a Bells progress note. In a CT|One release in Feb or early March of 2021 we will be adding an indicator to show a note came from Bells. Also, for the reverse, when we start pulling past notes from CT|One into Bells, we will have an indicator that it came from outside of Bells.

  1. The display in the grid will be identical.
  2. The text format in the note will look similar to a CT|One note but not match it exactly.


How long does it take for a Progress Note in Bells to merge over into CT|One once it has been signed?

Data syncs to and from CT|One very quickly.  In general, you will see changes sync between Bells and CT|One instantaneously.  If it takes more than 5 minutes for your data to sync, please contact Customer Support.


Will the Bells Progress Note show up in all of the same search sections in CT|One like all of the other notes do?

Yes!  Bells Progress Notes will show up everywhere in CT|One where you see progress notes that originated in CT|One.


Can I attach a scanned document to a Bells Progress Note?

We are not currently supporting scanning documents in Bells.  You may continue to attach scanned documents to packets the way you currently do in CT|One.


Why isn't my data coming up when I do a Progress Note search in Bells? 

There are currently two places in Bells for you to search for Progress Notes, the Chart section and the Patient Chart. These searches will search progress notes by patient name, note type and author, as well as the text entry fields of the note to narrow down the records shown. At this time, the search does not search for results in the session time, diagnosis or goals and objective sections of the note.


Why am I missing/seeing extra location roles in my Session Information list and how do I control what is in the list?

 The Service Location (Facility) and Location Roles, also known as Place of Service, are displayed in Bells based on the configuration in CT|One. We pull all combinations of Facilities and Places of Service from CT|One and display them in Bells based on the following limits. This will form the list of Service Locations on the Session Information field for Progress Notes. 

The configuration in CT|One involves the following: 

  • Facility limits 
    • When the Place of Service has been set for a Facility in CT|One on the Miscellaneous tab, then that will be the only Location Role (Place of Service) paired with the Location (Facility) in Bells. 
  • Site limits 
    • Review the Sites associated with the Facility (Location) in CT|One. If there are no sites configured for the facility, you will see no location roles for the location in Bells. 
    • If you have sites, then review the Service Type tab of the Site Maintenance window in CT|One. Based on the setting in the Service Type Limit dropdown on the tab, the service types will be based on that configuration. 
      • The setting will either allow for all service types or it'll restrict based on the selection. 
  • Service Type limits 
    • Each Facility can have one or more Sites.
    • Each Site can be limited to one or more Service Types.
    • Each Service Type can be limited to one or more Places of Service.
    • If any Service Type has been limited to a Place of Service, then only those selected Places of Service will result in a Location/Location Role combination in Bells. 
    • When Places of Service are selected as a limit on a Service Type, there will be a limit for every Service Type in that Location in Bells.. 
    • For example,
      • Facility A has Sites B, C, and D 
      • Site B is limited to Service Types 1, 2, 3 
      • Site C is limited to Service Types 4, 5, 6
      • Site D has all Service Types eligible.
      • Service Type 1 is limited to Place of Service 10
      • Service Type 2 is limited to Place of Service 20 
      • In Bells, you will see 
        • Location A with Location Role 10
        • Location A with Location Role 20
  • Not Limited
    • If there are no Facility or Site Limits (see above) then if all sites have all service types eligible, then Bells will show every combination of Facility (Location) and Places of Service (Location Role).

One thing to keep in mind, at least one note must have been made in CT|One for the Facility and Place of Service combination for it to sync for use in Bells. You can sign a note in CT|One with that Facility and Place of Service to make it available in Bells. 

If your list of Service Locations includes more/fewer Service Location/Location Roles than you're expecting, review your limit configurations in CT|One and adjust accordingly.

If a brand new Place of Service code is adopted by CMS, that will require an update in Bells. 


If my CT|One goal/objective doesn't have a start date, will it show in Bells?

 Yes, your CT|One goal/objective will still show in Bells.  When the start date is not set, Bells will use the packet date as the start date for the goal.

Additionally, if you try to back date a progress note in Bells to utilize goals/objectives from a previous treatment plan (not the latest treatment plan) they will not show in Bells. Bells does not support pulling goals/objectives from previous versions of treatment plans. 


When I start a progress note from the groups or the agenda, why isn't the location from my group or appointment defaulting?

 In CT|One, even when your Group or Appointment is configured for a location, Bells can't default the Location in the Progress note because Service Locations in Bells are a combination of the Locations (Facilities) and Location Roles (Places of Service) from CT|One. Since the combination of these two fields does not exist in CT|One, we have no way to pull them over intelligently combined to default in Bells. So we leave this selection to the user.
